Real Estate Sales Reports That Matter: 7 Metrics to Track
Response time, site-visit rate, conversion by source and team performance: the real estate sales metrics worth tracking, and how to stop building reports by hand.
Most real estate teams have plenty of data and very little clarity. Leads sit in one tool, site visits in another, and bookings in a spreadsheet. A manager asking "how are we doing?" usually gets an answer that took someone half a day to assemble.
Good reporting does the opposite. It tells you where to look, without anyone building it by hand.
Seven metrics worth tracking
1. Time to first response
How long a new enquiry waits for a reply. This is often the single biggest lever in property sales, because buyers contact several developers at once.
2. Leads by source
Where enquiries come from: Meta ads, portals, website, referrals, channel partners. Without the source, you cannot tell which spend is working.
3. Qualification rate
The share of leads who match your budget, configuration and location. This shows whether a campaign is bringing the right buyers or just more of them.
4. Site-visit rate
Of qualified leads, how many book a visit, and how many of those actually come. Your site visit automation lives or dies on these two numbers.
5. Visit-to-booking conversion
How many visits turn into a booking. A weak number here points to the sales conversation, pricing or product, not to lead generation.
6. Follow-up discipline
How many leads have not been contacted in the last two days, and who owns them. Stale leads are the quiet cost of every pipeline.
7. Performance by agent and team
Response time, visits and bookings per person, so you can coach and rebalance leads fairly.
Make it automatic
Reports are only useful if they arrive without anyone building them. A good setup:
- Sends each agent a daily list of leads they need to contact
- Sends managers a weekly summary of the metrics above
- Flags unusual changes, such as a sudden drop in response time or visits
Add what is said on calls
Numbers show what happened. They do not show why. ClioIQ captures objections, requirements and commitments from sales calls and links them to the right buyer, so leadership can see which deals are at risk and why, without chasing the team for updates.
